Knowledge Notes

Capture permission-scoped company knowledge, link it to records, and collaborate with versions, comments, and AI summaries.

Overview

Knowledge Notes let your team capture durable, permission-scoped notes and link them to the business entities they describe — invoices, opportunities, vendors, employees, and more. Notes show up in a dedicated list, on each record's Activity Panel, and in Business Graph search, always filtered by who is allowed to see them. Private notes stay visible only to their owner and the people they are explicitly shared with; workspace notes follow your NOTES permissions.

Where in the app

  • List: /c/companies/:companyId/collaboration/notes
  • Detail: /c/companies/:companyId/collaboration/notes/:noteId
  • Activity Panel tab on supported records (invoices, bills, opportunities, …)
  • Tenant and partner portals expose read access where the module and permissions allow.

Step-by-step

  1. Open Notes from the company portal sidebar (/c) and create a note with a rich-text body. (UAT-C-NOTES-001)
  2. Link the note to one or more records so it appears in their Activity Panel. (UAT-C-NOTES-002)
  3. Choose visibility — keep it private, or share it with colleagues at read or edit level. (UAT-C-NOTES-003)
  4. Collaborate with comments and @mentions; every save creates a version you can review and restore. (UAT-C-NOTES-004)
  5. Organize related notes into collections.
  6. Export, archive, or restore a note, and find any note through Business Graph search with access-policy filtering. (Expected: archived notes leave the default list but stay restorable.) (UAT-C-NOTES-005)

Permissions and modules

The notes module must be enabled. Actions map to granular permissions: NOTES:READ, NOTES:CREATE, NOTES:UPDATE, NOTES:DELETE, NOTES:SHARE, NOTES:COMMENT, NOTES:EXPORT, and NOTES:MANAGE. Agent-created notes default to draft and private with provenance metadata, and rich-text bodies are sanitized server-side.
